If your pet's paperwork lives in a shoebox, a drawer or a pile on the counter, you're not alone. The good news is that you can tame it in a few short sessions.

Session 1: Sort (30 minutes)

Empty the box, and make piles:

  1. Vaccines and rabies certificates
  2. Medical visits, invoices and lab results
  3. Insurance and claims
  4. ID, microchip and license
  5. Travel and certificates
  6. Other or unsure

Set aside anything that isn't about your pet.

Session 2: Scan the essentials (30 to 45 minutes)

Start with the most important documents: current rabies certificate, vaccine history, microchip details and any ongoing medication information. Use your phone camera in bright, even light, and check that every date is readable.

Session 3: Scan the rest

Work through medical history, then insurance, then older records. Don't agonize over perfection.

Naming and filing

Name each file in a consistent way, such as "Max 2024-06 Dental Cleaning." Upload them to your digital pet health vault, grouped by pet and by type.

What to keep on paper

Keep originals of official documents, such as rabies certificates, adoption contracts, travel certificates and anything with a signature or stamp you may need to show. Shred or recycle duplicates and expired items only if they aren't needed.

Fill the gaps

If you're missing records, ask your vet, previous clinics or the shelter for copies. Find a vet near me if you need a new clinic to start your file.

Keep it up

Scan new documents the day you receive them, and your shoebox problem won't return.

With everything in Waggle Vault, you can bring up your pet's history anywhere. For health questions along the way, chat with a licensed vet on Waggle Vet.
